MYOB Case Studies

Dogmersfield Park - Development/Construction

Speciality bits - Job Costing, Payroll, Reimbursable billing, Group Structure
With an expected £30m expected budgeted spend over 20 months, this prestige hotel and spa development just south of Farnham, Surrey, needed a system which enabled tight fiscal controls combined with ease of use and the ability to get operational instantly. MYOB was selected by Michelle Brooks, the Director of Finance, and using the Directory of Consultants, came to us for training, implementation and advice. Due to the complex group structure 4 separate companies were customised enabling a seamless flow of data and documentation from the incurring of the cost to the regular funding drawdowns. The budgeting process involved using the same Project Costing structure as used by the construction company and over 300 job codes were utilised, all feeding into a simple Nominal Ledger. In all, the training took place over 5 half day sessions - within the first session all three companies were up and running.

Gunson Fine Wines - Distribution
Speciality bits - Stock, Multi Currency, Ordering
When Dion Gunson branched out on his own and founded his company at the beginning of 2001, he realised that his lack of pure accounting experience meant that he had to keep a "clean set of books". His researches led him to MYOB on the basis of its ease of use for non-accountants and its cross platform (i.e. PC & Mac) compatibility. He contacted us through the website and within a week of first contact, the first training session was commenced. Starting from grassroots, the customised training programme led Dion through the basics and by the end of the third half day session, he had managed to print off invoices, in-bond stock transfers and orders from MYOB, reconcile his bank account and do his VAT return. As the training developed, MYOB managed to handle the complexities of buying goods into stock in several currencies and selling it in £ - Dion was particularly impressed by the reporting capabilities e.g. being able to review reports which could compare volumes and margins between Chardonnay and Merlot in any particular quarter.

RigRun - Offshore Engineering
Speciality bits - Job Costing, Multi Currency, Factoring
When Roland Holmes' offshore engineering company, RigRun (Europe) Limited, based in Aberdeen, Scotland, won a £250,000 refurbishment order in early 2001, he realised his manual accounting system would struggle to cope. With supply and service of plant as far afield as Russia and Iran, he had already outsourced the debt collection process to the factors Alex Lawrie. In just 2 intensive day-long sessions with Tracey Burr the company's Administrative Officer who had only basic bookkeeping experience, the system was set up, customised and operational. The initial concern about whether MYOB could handle the factoring of multi-currency was answered with a positive yes and in fact the exercise of reconciling the factoring account revealed £4,000 worth of unclaimed VAT. Stock and payroll are planned for integration in MYOB in the near future. We also provide RigRun with year end accounts service and taxation advice.

Hype - Drinks
Speciality bits - Offshore company, Stock assembly, Euro based
This Gibraltar based international trading company specialises in manufacturing, marketing and selling a brand of health drinks called Hype. It sources its ingredients from across Europe, manufactures and cans the products in Belgium and sells it via distribution channels worldwide. The founder, Bertrand Gachot, opted for MYOB achieving some progress under his own steam but found he needed help on both the Stock assembly routine and multi-currency aspects. We picked up the baton and customised his system to operate with the Euro as the base currency and streamlined the stock assembly, saving time in input without losing the valuable historical information. Within a short period of time, we input and reconciled 18 months' worth of data. We also provide Hype with an on-going accounting bureau service and year end accounts.

Greenhouse Ventures - Consultancy
Speciality bits - Run off a remote server, Job Costing, Ordering
Greenhouse is an amalgam of talent from different disciplines and locations centred around multi-million £ innovation ventures in the corporate sector. Part of this coming together is around MYOB which provides remote access to Project Teams via a Broadband Virtual Private Network. Ordering generated in one location can be signed off by the Team leader in another whilst the Finance is kept up to date with minimum duplication of input. Expenses claims are also entered directly by staff for retrospective approval - priority coded passwording restricts access to appropriate staffing levels. Automatic recharge of reimbursable expenses cuts down on administrative resource and ensures prompt turnaround of cash flow. We also provide Greenhouse with an on-going accounting bureau service and year end accounts.

Juno Roplasto - Window Manufacturer
Speciality bits - Reporting to German Holding company, Product Margin
We were called in to provide some remedial work to an MYOB system that had been outsourced to external accountants. The system had an over-complicated stock section inappropriate to the bespoke, high-quality windows being manufactured and David Harle, the Managing Director, was struggling to meet his reporting requirements to his German holding company. We were recommended to him by MYOB UK to come up with a solution or look at junking the system altogether. We streamlined the stock system and at the same time rationalised the Nominal Ledger structure to give meaningful margin reports. This enabled an evaluation of the return on various investments in new machinery, primarily a Glazing unit.

The Air Gallery - Art Gallery & Dealership
Speciality bits - Booking & payment system
"It can't be done" said Simon Matthews, the co-owner of the posh art gallery in Dover Street in London's West End. It is true that the booking process is complicated - each booking can be for a variety of rooms or floors and for a variety of time spans. Each requires several on-account payments including a refundable security deposit and some of the bookings are taken 2 years in advance. With a bit of trial and error, MYOB was successfully implemented two years ago and is still working well. It provides a billing schedule monthly for each phase of the booking and a forward revenue stream. We also provide The Air Gallery with an on-going accounting support and year end accounts.
